A Policy-Aware Calculator
Productivity formulas differ by workplace. This calculator keeps the common billable-time model simple while allowing documented employer policies. Review AOTA’s Productivity Decision Guide for occupational therapy policy considerations.
- Include documentation only when your organization counts it.
- Include indirect care such as coordination or family training only when approved.
- Subtract only explicitly excluded time—and never subtract an unpaid lunch twice.
Therapy Productivity Formulas
Productivity percentage
Countable minutes ÷ adjusted paid minutes × 100
Required countable minutes
Adjusted paid minutes × target ratio
Estimated target end time
Start time + (countable minutes ÷ target ratio) + unpaid break
Therapy Productivity Example
A therapist records 330 countable minutes in a 480-minute paid shift with an 85% workplace target.
Common Result Types
Each mode solves a different part of the same time-based relationship.
| Mode | Example Result |
|---|---|
| Productivity percentage | 330 ÷ 480 = 68.8% |
| Required minutes at 85% | 480 × 0.85 = 408 min |
| Target end time | 8:00 AM + 360 paid min + 30 min break = 2:30 PM |
Therapy Productivity Calculator FAQ
Answers about billable time, targets, documentation, breaks, and end-time estimates.
How do you calculate therapy productivity?
Divide the patient-care minutes your employer counts by adjusted paid worked minutes, then multiply by 100.
What is a good therapy productivity percentage?
There is no universal productivity percentage for every setting. Review APTA guidance on physical therapy productivity and follow your employer’s defined formula and target.
Does documentation count toward productivity?
It depends on workplace policy. According to ASHA guidance on therapy productivity, employers determine which direct and indirect activities count.
How many billable minutes do I need?
Multiply adjusted paid shift minutes by the target ratio, then round a positive fractional requirement up to the next whole minute.
How is the target end time estimated?
Divide planned billable or countable minutes by the target ratio, round the maximum paid duration down, then add it and any unpaid break to the start time.
Does the estimated end time mean I can clock out?
No. It is a planning estimate, not permission to leave. Follow your schedule, complete required duties, and respond to patient needs.
Is an unpaid lunch the same as excluded time?
An unpaid lunch normally sits outside paid worked time. Do not subtract it again if your paid-minute input already excludes it.
Does this calculate Medicare billing units?
No. Billing units, payer rules, visits, and claims are separate from an employer productivity calculation. Refer to CMS therapy coding and billing guidance for Medicare therapy billing information.
